1            System Requirements

 

Operating System

Any modern OS that supports a current web browser:

            Windows: 10 or later (64-bit recommended)

            macOS: 11 (Big Sur) or later

            Linux: Modern distributions (Ubuntu, Fedora, etc.)

            Mobile: Android 9+, iOS 14+

 

Web Browser

            Google Chrome

            Mozilla Firefox

            Microsoft Edge

            Safari (for macOS)

 

Hardware

Minimal for just web access:

            Processor: Dual-core (e.g., Intel Core i3 or equivalent)

            RAM: 4 GB (8 GB+ for smoother multitasking)

            Storage: Enough free space for browser caching and temp files (~500 MB)

            Graphics: Integrated graphics is fine

 

Internet Connection

            Speed: At least 1 Mbps download; 5+ Mbps recommended for uploading or syncing files

            Stability: A stable connection is more important than raw speed

 

Screen Resolution

            Minimum: 1024 x 768 pixels

            Recommended: 1366 x 768 or higher for better UI layout

 

 

2            Introduction

 

evalurate is a web-based and mobile device freight rate automation system. For shippers, evalurate eases the processes of requesting for and comparing freight rates and awarding of shipments. For forwarders, evalurate reduces the administrative work of sales staff and reduces the risk of revenue leakage. For operations evalurate increases the accuracy of billing and eases vendor invoice verification.

 

Before we begin we wish to highlight some items. Please read this guide to help you better understand how the system functions.

 

The system purposefully separates the roles of the users to maintain a 4 or 6 eyes principle. Each email address must be unique and can't be used concurrently.

 

The system is workflow based and users are not able to proceed unless the previous step was completed.

 

The system is currently meant for the requesting and managing of budgetary and spot quote freight rates.

 

You may access the system on any kind of platform however best is either on a PC monitor or tablet size 10 inch or larger.

evalurate is not meant to be a marketplace for finding new forwarders, or vice versa.

 

Any company names, addresses, persons names, shipment data etc. shown on any of the screenshots used in this guide are fictional.

 

 

3            Users types

 

There are 4 types of vendor users:

 

a)          Vendor User Admin (VUA): These users manage the company profile and access of users (VM, VS and CO) of the system of their entity. There can only be one VUA at any time.

b)          Vendor Manager (VM): These users receive and respond to client rate requests. VM’s are considered the main vendor users of the system. Their job function within the entity is typically Business Development, Sales or Account Management.

c)          Vendor Sales Support (VS): A support function to the VM who helps with internal and external rate request and helps to create the quote. Their job function is typically Sales Support or Customer Service.

d)          Vendor Operations (VO): Operations staff assigned to coordinate the clients order and perform the billing once the Client activates the order. Operations staff require access to the system to view quotations for billing purposes.

 

Before registering in the system the user must decide which of the four roles they will be having. The first user type to register an entity in the system needs to be the VUA. The VUA will then register the VM.

 

 

4            Registering as Vendor User Admin (VUA)

 

The VUA can register via the “Request Access” page on the homepage https://freight.evalurate.net.

 

Select the “We are Forwarders” option at the bottom of the form.

 

In case another user from the same company is already registered the VUA will be notified accordingly.

 

Please note the system might reject free email providers such as gmail, yahoo etc.

 

Once the registration is successful the VUA will receive an email to confirm the registration together with a temporary password. Once logged into the system, it is recommended that the VUA changes the temporary password immediately.

 

 

 

5            Company Profile

 

Besides managing the users of the system, it is the role of the CUA to manage the Company Profile. This information is relevant to all users of the system and can be viewed by the Vendor.

 

Under Trading terms & conditions enter the URL where the T&C’s of your company is published.

 

 

6            Registering the Vendor Manager (VM)

 

Next the VUA need to add Vendor Managers.

 

Follow the same steps to add a Vendor Sales Support (VS) and Vendor Operations (VO).

 

 

7            As Vendor Manager (VM) adding Clients

 

Once the Vendor Manager (VM) has been setup in the system the VM is able to add their clients in the system. If a client is already registered in the system they will immediately be added. Otherwise a notification will be sent to the client requesting them to register.

Once a link has been established the forwarder will need to add the credit terms with this client, e.g. COD or 30 days etc. These terms will appear on your quotation.

 

If they are not registered, then the client needs to get registered (similar to the Vendor registration process above). Once your Client confirms registration then the Vendor can proceed to the Client window and add the Vendor. Only when the connection between yourself and your client is confirmed is the client able to include the vendor in the rate request.

Tip: We recommend requesting your client to register in advance. They will also need to setup their entity in the system which takes time. Once their client manager has registered, it is much faster for you to create a link to your client. They are then immediately able to include you in their rate requests.

 

 

8            Dashboard

 

Once the VM logs into the system they will see their dashboard. The dashboard displays all new rate requests received and the requests that the vendor has decided to quote on.

 

 

9            Rate Requests

 

In the Rate Request window, all new, open or closed requests are listed.

 

 

10         Rate Request detail view

 

To view the details of a rate request click on the request no.

 

Here the vendor can decide to a) quote on this request, b) decline to quote or, c) forward this request to their Sales Support for quoting.
